Groups
This list shows all the groups that you have currently setup in the system.
Emailing a Group/s of Students
To email one or more groups, tick the groups that need to be emailed and
click the ‘Email’ button above the groups. This will then open the Email
screen.
· From Email is the email address the email will come from and when the
email is replied to, it will reply to this email address. These email
addresses are setup in the User Profile on the top right of the screen.
Multiple email addresses can be setup for a user and these email addresses
will then be available on this dropdown list.
· Attachments are files that can be attached to the email either directly
from a computer or from the library of documents that have been uploaded to
the MSM system. By clicking on the ‘Attachments’ option, you will be able
to choose where the file is located and then select the file to include in
the email. Multiple files from both sources can be added to the email. All
files selected are displayed on the Attachments list and can be removed by
clicking on the ‘x’ next to the file name which will remove the file from
the email.
· Templates are email templates that have been created and saved in the MSM
system library. Once a template is selected it will be opened in the email
area for you to use. The email can be changed and then you can choose to
update the original template in the library if you would like to.
· Email Subject and Body are typed in or automatically there from a
selected template.
· The student list according to the group/s you selected will be displayed
below the email details. You can select or unselect any students in the
list by ticking or unticking the box – the total number of emails that will
be sent is displayed at the bottom of the email on the right. To send the
email click the ‘Send Email’ button. A log will be created for the email
with the details of the email and who the email was sent to in the Activity
Log.
Adding New Groups
To add a new group to the system, click on the ‘Add Group’ option and a
pop-up will appear for the name and short name of the group. Once you click
‘Add Group’, the new group will appear in the list of groups.
Managing your Groups
When you click on a group, the full details of the group will be shown.
There are 3 tabs of information.
· The Students tab will show you a list of all the students that are in the
group. If you would like to see more details about a student, you can click
on the student to see the full details of the student. You can also email
from this tab all or a selected group of students in the list by ticking or
unticking students that you would like to email.
· Groups Details tab is where you can manage all information about the
group including adding contacts related to the groups and group rehearsal
days and times. You can also delete the group from within the tab.
· Parent Roster tab is where you can create and manage your parent rosters
for each term of the year.
The Activity Log
The activity log shows all the activity that has happened on the MSM
system. All logs with emails have an ‘>’ icon on the list. These logs
can be clicked on to see the full details of the email that was sent.
Once you click on a specific email log, there are 2 tabs on the email
details:
- Details shows you the actual email that was sent to the recipients
· Recipients shows you the list of the people who the email was sent to
including if the email was successfully delivered and if the email has been
opened by the recipient. By clicking on the Filter button, you can search
for a specific recipient by name, email or the status of the email.
If you would like to see the full logs, click on the ‘View All Activity’ to
see the full list of logs. Once on the list of logs, you can click on the
‘Filter’ button so give you the option to search for more specific logs.
