Dashboard Logs

Dashboard & logs

The Dashboard is the home screen of MSM. It gives you a quick overview of your student groups and recent activity, and provides shortcuts to common tasks. Go to Dashboard in the main menu.

Groups panel

The Groups panel on the left side of the Dashboard lists all your student groups. For each group you can see the group name, the assigned contact below it, and a student count badge on the right.

Each group row also shows up to two icon buttons depending on what is set up for that group:

Icon
What it does
Roster icon
Opens the roster for this group — only shown if a roster has been created for the group
Edit icon (pencil)
Opens the group settings form so you can edit the group's details

Adding and editing groups

Adding a group

  1. Click + Add in the top right of the Groups panel
  2. Fill in the form:
Field
Notes
Group Name
Required — the full name of the group e.g. Concert Band
Short Name
Required — a short abbreviation used in the calendar e.g. CB
Contacts
Assign one or more admin contacts to this group — shown below the group name on the dashboard
Venues
The default rehearsal venue, used when scheduling rehearsals on the calendar. Click + to add a new venue.
Colour
The default colour used for this group on the rehearsal calendar
Duration
Default rehearsal length in minutes — e.g. 60
  1. Click Add
💡

Tip: The Venues, Colour, and Duration fields are optional but save time when scheduling — they become the defaults whenever you drag this group onto the rehearsal calendar.

Editing a group

Click the pencil icon next to any group name on the Dashboard to open the Edit Group form. Update the fields and click Save.

To delete a group, open the Edit Group form and click Delete. Confirm the deletion when prompted.

⚠️

Note: Deleting a group removes it from the system including its rehearsal schedule. Students who were members of the group are not deleted — their group membership is simply removed.

Logs panel

The Logs panel on the right side of the Dashboard shows a rolling feed of recent activity across your school. Each entry shows a coloured icon, a description of what happened, who performed the action, and the date.

Log entries are colour-coded by type:

Blue — Email — an email was sent
Amber — Update — a record was updated or an action was performed
Green — Add — a record was added
Red — Delete — a record was deleted

Click Full logs > in the top right of the Logs panel to open the complete log history.

Full logs

The full logs page shows the complete history of every action taken in MSM. Go to Dashboard and click Full logs > in the top right of the Logs panel.

Column
What it shows
Date
When the action occurred
Logged By
The admin contact who performed the action
Description
What happened — e.g. Email : New System, Student: New System added

Use the Filter box in the top right to search the log by description or contact name.

Click any Email log row (shown with a blue icon) to open the full email delivery details.

💡

Tip: The full logs are your first stop for troubleshooting email delivery issues — you can see exactly which emails were sent, to whom, and whether they were delivered or failed.

Email log details

Clicking an email log entry opens a detail view with two tabs: Recipients List and Email Details.

Recipients list

Shows every parent the email was sent to and their individual delivery status. The Contact Name column shows the recipient's name along with their group abbreviations in brackets — e.g. (New System / CB, EG5).

Column
What it shows
Contact Name
The recipient's name and their associated group abbreviations
Email Address
The address the email was sent to
Status
Delivered or Failed
Opened
A tick if the recipient opened the email

To resend the email to a specific recipient, click the send icon (arrow) at the end of their row and confirm. This is useful when a delivery has failed or a parent says they didn't receive the email.

Email details

Shows the full content of the email as it was sent:

  • Subject — the email subject line
  • From — the sender name and email address
  • Attachments — click any attachment to download it
  • Email Body — the full message as sent to parents

Quick reference

A handy reminder once you are familiar with the system.
