Enrolments
The Enrolments section is where you process new student registrations from the parent portal and manage re-enrolment responses from existing families. Go to Enrolments in the main navigation bar at the top of the screen — the page has two tabs: New Students and Re-enrolments.
New Students tab
When a parent submits a registration form through the MSM parent portal, their child appears here. You review the registration details and assign the student to a group before they become part of your active student list.
Use the Filter by student name and Filter by groups boxes above the list to narrow down who you see. The toolbar on the right provides Email, Update, and Export actions.
| Column | What it shows |
|---|---|
| First Name / Last Name | The student's name as submitted in the registration |
| Grade | The grade submitted in the registration form |
| Group | The group assigned so far — shown as green tags if assigned |
| Instrument Preferences | The instruments the parent selected during registration — shown as grey pill badges |
Each row has a + expand button on the left. Click it to reveal the full registration details and the assignment form inline below the row.
Click anywhere on a row (not the + button) to open the full student record — useful if you need to review or update their personal details or contact information before assigning them.
Approving a new student
- Click the + expand button on the student's row
- Review their instrument preferences and answers to any registration questions
- Fill in the assignment form that appears below the row:
| Field | Notes |
|---|---|
| Group | The group to place the student in |
| Instrument | Select from the parent's stated preferences or any instrument in the system |
| Status | The student's enrolment status — e.g. Exp Interest, Active |
- Click Save — the student is assigned to the group and their record is updated
Tip: The parent's instrument preferences are listed in order of preference in the expanded row. Choose the instrument that best matches their first choice when assigning.
Bulk actions and export — New Students
Tick the checkboxes next to students and click Update in the toolbar to perform bulk actions across multiple students at once.
| Action | What it does |
|---|---|
| Tags — Add / Remove | Add or remove a tag from all selected students |
| Group — Move from / to | Move selected students from one group to another |
| Grades — Move up / down | Shift all selected students up or down one grade level |
| Move out of new student list | Mark selected students as no longer new — removes them from this tab |

Click Export to download selected students as a CSV file. Choose how many contacts to include per student (0–4) and whether to include medical information.
Re-enrolments tab
The Re-enrolments tab shows existing students who have been asked to confirm whether they are returning next year. Parents respond through the MSM parent portal and you review their answers here.
To set up the re-enrolment form and add custom questions, go to Settings > Re-enrolment. See the Parent Portal article for details.
Adding students to the re-enrolment list
Students do not appear here automatically — you add them manually.
- Click Add Students in the toolbar
- Select the students you want to include and confirm
To remove students from the list, tick their checkboxes and click Remove Students.
The re-enrolments list
| Column | What it shows |
|---|---|
| First Name / Last Name | The student's name |
| Grade | The student's current grade |
| Groups | The student's group abbreviation — e.g. TB1, CB |
| Instruments | The student's current instruments |
| Returning | A green tick if the parent confirmed returning; a red circle-cross if not returning; blank if not yet submitted |
| Completed | A green tick if the parent has submitted the form; a red circle-cross if not yet submitted |
Both the Returning and Completed columns have a filter icon — click it to show only the students matching a specific status, making it easy to focus on those who haven't responded or those who are not returning.
Filter the list further using the Filter by student name and Filter by groups boxes above the list.
Reviewing re-enrolment responses
Click the + expand button on any row to see the parent's answers to your custom re-enrolment questions inline below the row.
Click anywhere on a row (not the + button) to open the full student record.
Emailing parents
Tick the checkboxes next to students and click Email in the toolbar to send a message to their parents — useful for following up with those who haven't yet responded. Use the Completed column filter to quickly select only those who haven't submitted.
Bulk actions and export
The same bulk actions available in the New Students tab are available here — Tags, Groups, Grades, and Archive. Click Update to access them after selecting students.
Click Export to download selected students as a CSV file.
